Before the parts move into warehouse stock or installation kits, the receiving team needs to connect each item to the purchase order, its inspection records and the package it arrived in.

For oil and gas buyers, the useful question is not simply whether a certificate is present. It is whether the delivered bolts, studs, nuts and washers can be identified against the approved order. The checks below help procurement, stores and quality teams work from the same receiving record.

Start with the Approved Order

Keep the purchase order, approved fastener schedule, latest drawing revisions and agreed inspection requirements together. Use the buyer’s item code as the starting point for each line. A product name such as “stainless stud” or “heavy hex nut” is too broad to resolve a discrepancy.

Check the exact material specification and grade or property class stated in the order.

Compare the required dimensional standard, thread diameter, pitch or thread series, and length basis.

Check the agreed finish, part marking, matching components and quantities.

Confirm which reports, certificates and inspection approvals were included in the supply scope.

The receiving check verifies the agreed order. It does not replace the project engineer’s selection of materials, grades or service requirements. For preparing that order, see our guide d'approvisionnement en fixations pour le pétrole et le gaz.

Match Each Package to Its Records

Review one package at a time before combining parts in a storage bin. A carton label, a part mark and a report may use different identification fields. Ask the supplier for the link between those fields when it is not clear; do not assume that two similar-looking identifiers refer to the same lot.

Receiving item

What to compare

Record to retain

Buyer’s item code

Purchase-order line, part description and approved drawing revision

Receiving line linked to the order

Package identification

Carton or pallet number, size, finish and declared quantity

Label photo and quantity check

Material identification

Required grade and the supplier’s heat or lot reference

Material report and identification link

Dimensional evidence

Applicable drawing, measured features, units and agreed tolerances

Dimensional report for the identified parts

Inspection release

Required document type, issuing party and agreed approvals

Complete document set and release record

Review Reports for the Delivered Items

A material inspection report and a dimensional report answer different questions. Check that the product identification, report reference and order requirements connect to the delivered items. A report covering one size or manufacturing lot should not be assumed to cover the rest of a mixed shipment.

For dimensional reports, check the drawing revision, measurement units and inspected features before comparing results. For material reports, check the material designation and traceability reference against the agreed specification. Any test values or acceptance limits should be reviewed against the applicable order requirements by the responsible quality or engineering team.

If EN 10204 3.1 or 3.2 documentation or third-party inspection was ordered, check the specified document type, issuing party, inspection scope and approval arrangements. The presence of a logo, a scan or a file named “certificate” does not establish that the agreed document package is complete.

Keep Mixed Materials and Matched Sets Separate

Finish and colour are not a reliable way to distinguish material grades. Keep parts with different grades, threads or traceability references separated until their identification is resolved. This is particularly useful when an order combines carbon or alloy steel bolting with stainless, duplex or nickel-alloy parts.

For stud-and-nut sets, compare both component lines with the approved schedule. Confirm the specified nut grade, thread and quantity per set rather than choosing nuts by appearance. Do the same for washers and any packing groups intended for particular installation locations.

For stainless purchasing lists, our metric stainless fastener supply page connects the product enquiry with material reports and drawing requirements. The A194 heavy hex nut enquiry page sets out the grade and matched-set information to provide.

Resolve Discrepancies Before Releasing Parts

The package label and report do not match

Keep the affected package identified and separated. Send the supplier the buyer’s item code, package number, label photo and relevant report reference. Request a documented explanation or correction. Avoid relabelling parts from an assumption about their appearance.

The delivered drawing revision is unclear

Compare the approved order revision with the inspection report. Ask for clarification of the manufactured revision and the relevant inspection results before releasing the affected custom parts.

The order is complete, but a report is missing

Record the outstanding document against the affected line. Confirm whether the agreed inspection scope has been completed and when the document can be supplied. A physical quantity check alone does not resolve a missing quality record.

Plan the Receiving Requirements with Your RFQ

XZ Fastener can review material inspection reports, dimensional reports, batch traceability and drawing-based requirements with your enquiry. State any EN 10204 3.1/3.2 or third-party inspection needs at quotation stage so the issuing party, inspection scope and approval arrangements can be confirmed before ordering.

Send your BOM or fastener schedule, exact grades, sizes, quantities, drawing revisions, document requirements and destination. Include the package-label fields and installation-kit grouping you need. MOQ, packing units and standard or custom production lead times are confirmed separately in the quotation.

Review oil and gas project fastener supply ou send your fastener schedule and inspection requirements.

A shipment of project fasteners can include several materials, thread sizes, finishes and manufacturing lots.
