A fastener RFQ often looks simple from the buyer’s side. Send a drawing, add quantity, ask for price. But in actual sourcing, missing details can lead to wrong quotations, delayed samples, failed assembly, or disputes after delivery.

For standard fasteners, a clear specification helps suppliers quote quickly. For custom fasteners, drawings, samples, and RFQ requirements become even more important. A small missing note on thread pitch, coating, hardness, or tolerance can change the production method and cost.

Why Fastener RFQs Need Clear Technical Information

Fasteners are not quoted by appearance alone. A bolt, screw, nut, washer, anchor, or threaded rod may look similar to another part but perform very differently in service.

For buyers building a complete product list, it is useful to review available fastener products before preparing an RFQ. Standard items may already match the project. Custom items need more technical confirmation.

Common RFQ Problems

Missing InformationPossible Result
Thread pitchNut mismatch or assembly failure
Material gradeWrong strength or corrosion resistance
Surface finishRust, poor fit, or wrong appearance
ToleranceLoose fit or impossible assembly
CantidadInaccurate unit price and MOQ
AplicaciónWrong material or coating recommendation
Certificate requirementShipment or project approval delay

Drawings: What Buyers Should Provide

A fastener drawing should do more than show the shape. It should define the part clearly enough for production and inspection.

Key Drawing Details

Drawing ItemWhy It Matters
Overall lengthControls assembly depth and fit
DiámetroDefines nominal fastener size
Thread pitchConfirms nut or tapped hole compatibility
Longitud del hiloAffects engagement and load position
Head typeControls installation clearance and tool fit
MaterialDetermines strength and corrosion behavior
Surface finishAffects protection, appearance, and thread fit
ToleranceDefines acceptable dimensional variation

For parts that cannot be sourced from standard catalogs, custom non-standard fasteners should be quoted with complete drawings or confirmed samples.

Samples: Useful, But Not Always Complete

Physical samples are helpful when old drawings are missing. They allow the supplier to check size, thread, head shape, drive type, and general structure.

But a sample cannot always confirm the original material, heat treatment, grade, coating thickness, or load requirement. A worn sample may also be stretched, corroded, bent, or damaged.

When Samples Need Extra Checks

Use additional testing or confirmation when the fastener is used in:

  • High-load machinery
  • Steel structures
  • Automotive or heavy vehicles
  • Marine or chemical environments
  • Pressure equipment
  • Safety-related assemblies

For strength-sensitive applications, buyers should compare options under high-strength fasteners before final approval.

Standard vs Custom RFQ Requirements

RFQ TypeRequired InformationBuyer Focus
Fijaciones estándarStandard, size, grade, material, finish, quantityAccuracy and availability
Custom fastenersDrawing, sample, tolerance, process, testing, applicationManufacturability and risk control
Project fastenersProduct list, standards, certificates, packing, delivery scheduleMatching and documentation
Replacement partsSample, dimensions, material check, working conditionReverse engineering accuracy

If standard parts are enough, standard fasteners are usually faster and more economical.

RFQ Checklist for Fastener Buyers

Before sending an inquiry, prepare:

  1. Product type: bolt, nut, washer, screw, anchor, stud, or threaded rod
  2. Standard: DIN, ISO, ASTM, ANSI, SAE, JIS, or drawing
  3. Size, thread pitch, length, and thread length
  4. Material and strength grade
  5. Surface finish or coating requirement
  6. Quantity and unit preference
  7. Application and working environment
  8. Matching parts, such as nuts and washers
  9. Required certificates, MTC, inspection reports, or test reports
  10. Packaging, labeling, shipping marks, and delivery schedule

For corrosion-sensitive orders, review suitable coated fasteners before confirming the finish.

Final Advice

A good fastener RFQ saves time before production and prevents cost after delivery. Clear drawings help control dimensions. Samples help confirm real geometry. RFQ details help suppliers choose the right material, coating, process, inspection plan, and packing method.

The best quotation is not only the fastest price. It is the quotation based on enough information to produce the right fastener the first time.
