Fastener shipment documents are not just paperwork. They help buyers confirm that the goods match the purchase order, project standard, inspection requirement, and customs declaration.

Many shipment disputes start because documents are checked too late. The goods are packed. The vessel is booked. Then the buyer asks for an MTC, coating report, certificate of origin, or packing details that were never prepared.

The safest time to confirm documents is before production starts.

Basic Commercial Shipping Documents

Documents Needed for Most Export Orders

These documents support customs clearance, payment, logistics, and warehouse receiving.

DocumentMain Purpose
Commercial InvoiceShows product value, buyer, seller, and trade terms
Packing ListConfirms carton count, weight, volume, and packing details
Bill of Lading / Air WaybillConfirms shipment and transport route
Certificate of OriginSupports customs clearance and tariff review
Insurance PolicyUsed when shipment insurance is arranged
Sales Contract or PIConfirms order terms and product scope

For mixed orders, the packing list should match actual carton labels. This is especially important when buyers order bolts, nuts, washers, screws, anchors, and other fastener products in one shipment.

Quality and Technical Documents

Documents for Standard Fasteners

For common standard fasteners, buyers usually request a Material Test Certificate and basic inspection report. The report should match the product standard, size, grade, finish, and batch number.

Key documents include:

  • Material Test Certificate
  • Dimensional inspection report
  • Thread gauge inspection record
  • Hardness test report
  • Tensile or proof load report when required
  • Certificate of Conformity

Documents for High-Strength or Project Fasteners

For high-strength fasteners, documentation needs are stricter. Buyers should confirm mechanical properties, heat treatment, lot traceability, and matching nut or washer details before shipment.

Tipo de productoRecommended Documents
Class 8.8 / 10.9 / 12.9 boltsMTC, hardness, tensile, proof load report
Structural boltsStandard compliance, assembly traceability, inspection report
Stainless steel fastenersMTC, grade confirmation, PMI if required
Coated fastenersCoating thickness, salt spray, finish report
Custom fastenersDrawing inspection report and sample approval record

Coating and Surface Finish Reports

Surface finish affects corrosion resistance, thread fit, and assembly behavior. For coated fasteners, request the correct coating documents before loading.

Common reports include:

  1. Coating thickness report
  2. Salt spray test report, if specified
  3. Plating or galvanizing certificate
  4. Baking record for high-strength electroplated parts
  5. Visual inspection record

Do not assume “zinc plated” or “HDG” is enough. The report should match the purchase order and project requirement.

Custom Fastener Documents

For custom non-standard fasteners, buyers should request drawing-based inspection records. A standard certificate may not prove that the special head, thread length, tolerance, or coating zone is correct.

Useful documents include:

  • Approved drawing revision
  • First article inspection report
  • Critical dimension report
  • Thread fit test record
  • Sample approval confirmation
  • Batch traceability record

Final Pre-Shipment Checklist

Before shipment, buyers should confirm:

  • Product description matches the PO
  • Standards and grades are correct
  • Carton labels match the packing list
  • Batch numbers match test reports
  • Certificates are signed and dated
  • Shipping documents match customs requirements

A complete document set reduces customs delays, project rejection, and after-sales disputes. For fastener buyers, documents should be treated as part of the product, not an afterthought.
