Fastener certificates are often requested too late. That is where many RFQ problems begin.

A buyer sends a size list, negotiates price, approves production, and only then asks for EN 10204 3.1, coating test reports, heat traceability, or third-party inspection. At that point, the supplier may not have separated the lot, tested the right batch, or prepared the documents in the required format.

For bolts, nuts, washers, screws, anchors, and threaded rods, compliance should be defined before quotation. Not after shipment.

RFQ Checklist for Certificates and Reports

Information to Include Up Front

A strong RFQ should state:

  1. Product standard and drawing number.
  2. Size, thread pitch, length, and quantity.
  3. Material grade and property class.
  4. Required certificate type.
  5. Heat number or lot traceability requirement.
  6. Mechanical test report requirement.
  7. Coating or finish report requirement.
  8. Dimensional inspection requirement.
  9. Third-party inspection requirement, if any.
  10. Language, format, and submission timing.
  11. Packing and label traceability rules.
  12. Whether documents are needed before shipment.

For finish-sensitive orders, documents should also define coating type, coating thickness, and test requirements. This is especially important for coated fasteners used in outdoor or project environments.

Common Mistakes in RFQ Compliance

Asking for Traceability After Mixing Lots

Distributors often combine inventory to meet urgent delivery dates. That may work for commercial supply. It can fail project compliance if heat or lot traceability is required.

Confusing Material Grade With Mechanical Grade
