Sending fastener samples to a manufacturer sounds simple. Put the bolt, nut, screw, washer, or anchor in a package and ship it out.

In real sourcing work, the sample is only the starting point. If it is not labeled, protected, measured, and explained properly, the manufacturer may give the wrong quote or make the wrong part.

For custom fasteners, samples should always be supported by clear technical information. This helps the factory check dimensions, material, thread, coating, strength, and production feasibility.

Why Samples Need Proper Preparation

A Sample Does Not Tell the Whole Story

A physical sample shows shape and size. It may show head style, thread type, surface finish, and general structure.

But it may not confirm:

  • Material grade
  • Strength class
  • Heat treatment
  • Coating thickness
  • Original standard
  • Thread tolerance
  • Load requirement
  • Working environment

For standard items, compare the sample with standard fasteners first. If the part is not standard, use custom non-standard fasteners and prepare a drawing before production.

One used sample may be worn, stretched, corroded, or damaged. If possible, send several pieces.

  • Does it carry load?
  • Is there vibration?
  • Is the part exposed outdoors?
  • Is corrosion resistance important?
  • Is the part removed often?
  • Are certificates required?

For corrosion-resistant parts, review stainless steel fasteners. For load-bearing parts, review high-strength fasteners.

Packing and Shipping Tips

Protect the Sample During Transit

Wrap sharp threads and coated surfaces. Use small bags, bubble wrap, and a strong carton. Heavy samples should not move freely inside the package.

Put a printed sample list inside the box. Also send the same list by email or message before shipment.

For customs declaration, describe the package clearly as fastener samples for evaluation. Do not overstate the value. Check local courier rules before sending metal samples internationally.
